Fashion Jewelry Samples & Order Approval

A fashion-jewelry order needs more than an approved photograph. The sample, packing instructions and shipment plan should describe the same version of the product. This guide explains the decisions to settle between an initial inquiry and an order confirmation.

Set the sample's purpose

Choose the design and list the features the sample must demonstrate. For earrings, this may include attachment and movement; for a stretch bracelet, resting circumference and row width; for a pendant, the chain and clasp. If the sample differs from the intended order, ask for those differences to be listed explicitly.

Record the approved item number, dimensions, stone color, finish and any agreed changes. Keep photos of the approved version with the written specification. A reference photograph is helpful for appearance, but it does not replace a material declaration or a dimensional measurement.

Review packaging as part of the product

The archived service page described display-card and buyer-supplied packaging discussions. For a new order, ask which arrangements are feasible and separately quoted. Send card or box dimensions, artwork, jewelry attachment position and the quantity per pack. A card that suits a stud earring may need different holes or reinforcement for a heavier dangling style.

If another supplier provides the packaging, agree who will receive it, when it must arrive and who checks that the jewelry fits. Confirm whether individual protection, display cards, inner packs and outer cartons are all included in the quotation.

Make the inspection discussion specific

Describe the points you want checked before shipment: item identity, count, dimensions, finish appearance, stone placement, closures and packing. If you require a formal inspection method or third-party review, request it before the order is finalized. Do not assume a particular inspection standard is included simply because a general page mentions quality control.

Separate production and transport dates

Ask for the proposed sequence of sample approval, production completion, inspection and dispatch. State your destination and target receipt date. Confirm the proposed shipping method, quoted freight, responsibility for transport arrangements and any documents you require. Dispatch and arrival are different milestones, so clarify which date the quotation describes.

Keep one approval record

Before accepting the order, reconcile the product specification, quantity, packing, commercial terms and schedule in one confirmation. If a detail changes, identify which version supersedes the earlier one. This reduces ambiguity when several styles or contacts are involved.
